ApprovalHelp terms of service

These product terms establish safe operating expectations. Organizations with a negotiated services agreement should use that agreement for legal and commercial review.
1. The service
ApprovalHelp is a payer-work support product for eligibility, prior authorization, denials, appeals, evidence, deadlines, communications, and outcomes. It is not an electronic health record, prescribing system, medical practice, insurer, law firm, emergency service, or substitute for professional judgment.
2. Organization authority
The organization represents that it is authorized to create the account, invite its workforce, enter patient information, and direct processing. It is responsible for assigning least-privilege roles, maintaining accurate users, obtaining necessary patient authorization, and promptly revoking departed or inappropriate access.
3. Qualified review
AI-generated text, extracted facts, policy candidates, dates, codes, and suggested actions are drafts. An appropriately qualified user must verify source documents, clinical accuracy, payer requirements, filing destinations, and deadlines before relying on or submitting work. ApprovalHelp does not guarantee coverage, authorization, payment, or appeal outcomes.
4. Acceptable use
Users must not submit information they lack authority to use; bypass tenant, capability, rate, security, or data-class controls; introduce malicious files; scrape or probe other accounts; impersonate another person; use the service for unlawful discrimination or fraud; or place PHI in billing, support, analytics, URL, or other fields identified as non-PHI.
5. Security duties
Users must protect authentication factors, use individual accounts, enable required MFA, review device sessions, report suspected compromise promptly, and avoid shared credentials. ApprovalHelp may suspend a session or account to contain risk, preserve evidence, meet law, or protect patients and customers.
6. Privacy and HIPAA
Information is handled under the Privacy Notice and, where applicable, a Business Associate Agreement. Service-level eligibility and data-class gates govern vendor use. A BAA does not make every product of a vendor suitable for PHI.
7. Fees and plan changes
Current prices, included capabilities, pass-through charges, trial terms, renewal timing, and cancellation controls are displayed before purchase and in the billing flow. Taxes and separately scoped implementation or integration work may apply. A downgrade must not defeat records, legal holds, or required export obligations.
8. Customer data and feedback
As between the parties, the organization retains its rights in customer data. It grants the limited rights needed to operate, secure, support, and meet legal duties for the service. Voluntary product feedback may be used without identifying patients, users, or the organization.
9. Availability and change control
The service may evolve, but ApprovalHelp will not silently relabel a planned integration as available or materially weaken a security or privacy commitment. Maintenance, emergencies, upstream dependencies, and events outside reasonable control may affect availability.
10. Suspension and termination
An organization may cancel under its plan. ApprovalHelp may suspend or terminate for material breach, nonpayment, unlawful or unsafe use, security risk, or legal obligation. Export, return, retention, deletion, legal hold, audit, and billing duties survive as applicable.
11. Disclaimers and liability
To the extent permitted by law, the service is provided without warranties of uninterrupted operation or payer outcome. Neither party excludes liability that cannot lawfully be excluded. Any negotiated services agreement controls conflicting warranty, indemnity, liability-cap, governing-law, venue, and dispute terms.
12. Changes and order of documents
Material changes will be versioned and presented through an appropriate notice or acceptance flow. A signed services agreement and BAA control over these online terms where they conflict; the applicable order form then controls commercial scope.
